Payment Policies

Invoices are issued at the end of each calendar month for hours completed during that period. Payment is due within the timeframe specified on each invoice.

Payments are processed securely via Wise (Wise Europe SA), acting as payment facilitator. Card payments are accepted in the following currencies:

  • British Pounds Sterling (GBP £)

  • Euros (EUR €)

  • US Dollars (USD $)

The currency applicable to your invoice will be stated clearly on the invoice itself. Card payments are accepted via Visa and Mastercard.

Visa and Mastercard are accepted.

Payment Security

PRN Admin does not collect, store, or process card details directly. All card payments are handled entirely by Wise (Wise Europe SA), a regulated payment institution authorised by the National Bank of Belgium. Wise uses Adyen as its acquiring processor.

Card data entered via the Wise payment link is subject to PCI DSS (Payment Card Industry Data Security Standards) compliance maintained by Wise and its processor. PRN Admin has no access to your card number or sensitive authentication data at any point.

Refund Policy

No refunds are issued for work already completed and delivered. By proceeding with payment, you confirm that you have received and accepted the services detailed on the invoice.

If you believe there is an error on your invoice, please contact support@prn-admin.com before making payment. Disputed invoices will be reviewed and, where an error is confirmed, a corrected invoice will be issued.

In the unlikely event that an engagement is cancelled part-way through a billing period, you will be invoiced only for hours completed up to the date of cancellation. No charge applies for hours not yet worked.

This policy must be read and accepted before making payment. By clicking the payment link and completing payment, you confirm that you have read and accept this policy.

Service Details

PRN Admin provides professional administrative and business support services, billed at an agreed hourly rate. Services are delivered remotely on an ongoing basis, with hours tracked and invoiced at the end of each calendar month.

Specific services include, but are not limited to: inbox and calendar management, document preparation, client communications, membership administration, social media support, and general business administration, operations support and management.

A full description of services and any applicable terms are set out in the individual service agreement or engagement letter provided to each client prior to commencement of work.

There are no physical goods involved and no delivery of physical items. No export restrictions apply to the services provided.

Privacy Policy

This privacy policy explains how we collect, use, store, and protect personal data in connection with the operation of our business.

This policy is compliant with the EU General Data Protection Regulation (Regulation (EU) 2016/679) (“GDPR”) and, where applicable to our UK-based clients and their data subjects, the UK GDPR as retained in UK law by the Data Protection Act 2018.

1. Scope of This Policy

This policy covers personal data processed by PRN Admin in two distinct capacities, which are addressed separately in Section 4:

  • As a data controller — in respect of data relating to our own clients, suppliers, and website visitors;

  • As a data processor — in respect of data belonging to our clients’ customers and contacts, which we handle on behalf of and under the instruction of our clients.

If you are a customer, patient, or contact of a business that uses PRN Admin’s services, the business you engaged with (our client) is the data controller for your personal data. Please refer to that business’s own privacy policy, or contact them directly with any queries about how your data is used.

2. Data Collection

2.1 Data we collect about our clients (businesses and sole traders)

When you engage PRN Admin as a client, we collect and hold the following categories of personal data about you and, where relevant, your business contacts:

  • Name, job title, and business name

  • Email address and telephone number

  • Business address(es) and billing address

  • Financial information necessary for invoicing (such as bank details/payment platforms for payment reconciliation)

  • Communications between us, including emails or messages, call transcripts, and task records

  • Any personal data you share with us in the course of providing us with work briefs or instructions

Lawful basis: Performance of a contract (Article 6(1)(b) GDPR) — this data is necessary to provide the services you have engaged us for. In some cases, we also rely on legitimate interests (Article 6(1)(f) GDPR), for example in retaining correspondence records for the purposes of dispute resolution.

2.2 Data we collect from website visitors

Our website (prn-admin.com) may collect limited technical data via cookies or analytics tools, such as browser type, pages visited, and approximate location. This data is not used to identify individuals and is used solely for the purposes of improving the website.

Lawful basis: Legitimate interests (Article 6(1)(f) GDPR).

2.3 Data we collect for payment processing

When you pay an invoice by card via our payment provider (Wise), your name, email address, and payment details are processed by Wise (Wise Europe SA) as a regulated payment institution. PRN Admin does not receive or store your card number or sensitive authentication data. We receive only confirmation of payment.

Lawful basis: Performance of a contract (Article 6(1)(b) GDPR).

3. How We Use Data

We use personal data that we control for the following purposes:

  • To deliver the administrative and business support services agreed with you

  • To issue invoices and manage payment

  • To communicate with you about your services, and any queries

  • To maintain accurate records of work completed

  • To comply with our legal obligations, including tax and accounting requirements

  • To protect our legitimate business interests, including in the event of a dispute

We do not use your personal data for marketing purposes without your consent. We do not sell personal data to third parties under any circumstances.

4. Data Controller vs Data Processor

PRN Admin operates in two legally distinct roles under data protection law, depending on the context. Understanding the difference matters for knowing who is responsible for your data and who to contact.

4.1 When PRN Admin is the Data Controller

PRN Admin acts as a data controller in respect of:

  • Personal data relating to our own clients (the businesses and individuals who contract with us directly)

  • Personal data relating to our suppliers, contractors, and associates

  • Data collected via our own website

  • Our own business records and financial data

As data controller, PRN Admin determines the purposes and means of processing. We are directly responsible for compliance with GDPR in respect of this data. If you are one of our clients or a contact of ours and wish to exercise your data rights, you should contact us directly at support@prn-admin.com.

4.2 When PRN Admin is a Data Processor

PRN Admin acts as a data processor when we handle personal data on behalf of our clients, relating to their customers, patients, members, subscribers, or other contacts. This applies routinely to our work, as we regularly access and operate systems on behalf of clients.

In these situations, our client is the data controller. They determine why and how their customers’ data is processed. PRN Admin acts only under their instruction and does not use that data for any purpose of our own.

Please contact the business you engaged with directly for any data rights requests or queries about how your information is used.

4.3 Data Processing Agreements

Where we act as a data processor, Article 28 GDPR requires that a written Data Processing Agreement (DPA) is in place between PRN Admin (as processor) and our client (as controller). We include data processing terms within our client contracts and work agreements.

4.4 Sub-processors

Where third-party tools are engaged as part of our service delivery, they may act as a sub-processor of your data. The vast majority of these tools are client-led decisions and cover systems such as:

  • Cloud-based business suites e.g. Google Workspace (Gmail, Google Drive, Google Docs, Google Calendar)

  • Practice Management Software e.g. Cliniko

  • Email Marketing Platforms e.g. Mailchimp

  • Membership Platforms e.g. Kajabi

  • Social Media Managment e.g. Meta Business Suite

  • Website Platforms e.g. Squarespace

  • Payment Processing systems e.g. Wise (Wise Europe SA)

5. Data Storage & Security

We retain personal data only for as long as is necessary for the purposes for which it was collected, and in accordance with our legal obligations. Our general retention periods are as follows:

  • Client contact and correspondence records: the duration of the engagement plus 5 years

  • Invoice and financial records: 10 years (in line with French accounting law)

  • Payment transaction records: 18 months minimum

  • Data processed on behalf of clients (as data processor): deleted or returned at the end of the engagement, in accordance with the relevant data processing agreement

Where retention beyond these periods is required by law (for example, in connection with ongoing legal proceedings), data will be retained for the duration of that requirement only.

We take the security of personal data seriously and have implemented appropriate technical and organisational measures to protect personal data against unauthorised access, loss, destruction, or alteration. These measures include pass-word protection and 2-factor authentication methods, access controlled cloud storage, clear confidentiality obligations for our associates.

In the event of a personal data breach that is likely to result in a risk to the rights and freedoms of individuals, we will notify the relevant supervisory authority within 72 hours of becoming aware of the breach, in accordance with Article 33 GDPR. Where the breach is likely to result in a high risk to individuals, we will also notify those individuals without undue delay.

6. Changes to this Policy

We review and update this privacy policy periodically to reflect changes in our business, the tools we use, or applicable law. The current version is always published at www.prn-admin.com. Material changes will be notified to active clients by email.
